Adding a Listing

With this short video we will give you walkthrough of how to add a listing in Flexmls – how to enter room information, public or private remarks, how to add listing media, how to save a listing as incomplete and more.

In this video, we’ll look at how to add listings in Flexmls.

Select add listing from your menu and the listing entry assistant displays to help streamline the input process. First, select the property type you’d like to add. If you add listings on behalf of other members in your office, you’ll be able to select the appropriate listing member.

If you only add your own listings, this step may not appear as you’ll automatically be entered as the listing member. Click Continue and enter the listing’s address into the search bar. If the address doesn’t appear, you can toggle to enter the address manually. In this example, I’ll use the address found in the search bar. Click Search to continue.

If you auto populated the address fields, the listing will already be on the map. Keep the current location or click Move Pin Location to move the pushpin to the correct position. Then click Continue. Finally, if your MLS uses a third party tax system, you can auto populate some of the listing’s details from its tax record.

Also, if the property has been listed on the MLS previously, you may have the option of copying some of the listing’s details or media as allowed by your MLS. Click Finish to move on and enter the rest of the listing details. The left side of the screen shows where you’re at in the ad listing process. It also allows you to go directly to specific sections to enter or edit listing information.

The red number shows how many required fields remain in a given section. A green check mark means that all required fields have been completed for that section. We recommend that you complete the listing information by working each section top down, as there may be non required fields that still provide information. Required fields have a red asterisk next to them. All required fields must be completed before the listing can be published.

If you auto populated any of the listing information, remember to verify those fields for accuracy. Complete the fields by working the screen top to bottom, as selecting one option may bring up additional required fields. For example, in this MLS, if I select association equals yes, different HOA related fields appear.

When adding the public remarks, some MLSs may also have access to a ten thousand character supplement to supply additional information about your listing. In the broker distribution section, you can set the various distribution options and seller opt outs, which vary according to your MLS rules.

You can add photos, documents, videos, or virtual tours by selecting the appropriate option from the Media section.

In this example, I’ll select photos and then select add photos. Select the photos from your files and add them to the listing. You can rearrange the photos by dragging and dropping them into position or by selecting the specific order with the number in the upper left corner. The photo outlined in blue with the flag selected is the primary photo that will display on listing reports.

You can also add photo descriptions and captions, rotate photos, upload replacement photos, and delete photos. On the left, you can add documents, videos, and virtual tours to the incomplete listing. If you’re ready to add the listing so it’s available to all members of the MLS, click Publish Listing.

If you’re not yet ready to make the listing live, click save as incomplete while you’re in the listing details section. This will save the listing under your incomplete listings. You can access your incomplete listings in the future by using your menu and selecting My Incomplete. Listings can stay incomplete indefinitely. On the Incomplete Listings screen, click to expand a listing and get a brief overview of listing information.

Click Edit to resume entry of the listing information or to add photos, videos, or documents to the incomplete listing. Whenever you’re ready to make the listing available in the MLS, click Publish Listing and follow the on screen prompts to complete the add listing process.

Once your listing has been added, other members of the MLS will be able to view it in search results, Hot Sheets, and subscription notifications. This concludes the tutorial on adding listings in Flexmls. Thank you.
